2. Information we use
Depending on your relationship with Horizon Rider, we may use:
your name, email address, telephone number and contact details;
enquiry, quote, booking and customer relationship information;
trip dates, motorcycle choices, accommodation requirements and other booking preferences;
rider information needed to assess eligibility, including motorcycle licence information and, where applicable, International Driving Permit information and supporting evidence;
emergency contact information;
payment, deposit, refund, credit and security information, although payment-card details may be processed directly by our payment providers rather than stored by Horizon Rider;
the Terms, Privacy and other document versions you accepted and the acceptance time;
motorcycle allocation, handover, return, mileage, equipment, condition, damage and incident information relating to your booking;
photographs, documents and other evidence supplied or created where reasonably necessary for rider eligibility, motorcycle handover and return, damage, incidents, insurance or dispute handling;
communications and customer-service history;
HATs membership information where you are also a Horizon Adventure Trails member;
technical, security and audit information needed to operate and protect our systems; and
your separate Horizon Rider marketing preference, including its state, time and source.
3. Why we use it and our legal bases
Contract: to respond to enquiries, prepare quotes, administer bookings, take and account for payments, assess rider and licence requirements, provide motorcycles, accommodation and related services, administer your trip and provide customer support.
Legitimate interests: to operate, secure, troubleshoot and improve Horizon Rider; manage customer relationships, motorcycles and business operations; prevent misuse; maintain appropriate audit records; investigate incidents or damage; and establish, exercise or defend legal claims, balanced against your rights.
Legal obligation: where records, checks, accounting information or disclosures are required by applicable law.
Consent: where we rely on your consent for optional Horizon Rider news, rides and offers. You may withdraw that consent at any time without affecting earlier lawful processing or your booking.
4. Operational messages are not marketing
Horizon Rider may send enquiry, quote, booking, payment, Rider Pack, licence and document, security, pre-arrival, trip-support, safety and other service communications needed to administer or protect your relationship with us.
These operational messages are separate from optional Horizon Rider marketing and do not depend on marketing consent.
5. Sharing and service providers
Data is shared only where necessary with service providers used to operate Horizon Rider, including:
HRCCC, our People, customer, booking and operational management system;
hosting and technical infrastructure providers;
email and communications providers;
payment and banking providers;
accounting and financial-record providers;
insurers, recovery providers or other operational providers where reasonably necessary in connection with your trip, an incident or a claim; and
professional or technical advisers acting under appropriate obligations.
Where you are also a member of Horizon Adventure Trails (HATs), relevant identity and membership information may be used across Horizon Rider and HATs so that K.M. CUNNING PLAN CONSULTING LTD can maintain a consistent customer and membership record.
K.M. CUNNING PLAN CONSULTING LTD may also disclose information where required by law or where reasonably necessary to establish, exercise or defend legal claims.
Personal data is not sold.
6. International transfers
Some providers may process data outside Cyprus or the European Economic Area. Where applicable, K.M. CUNNING PLAN CONSULTING LTD will use a lawful transfer mechanism, such as an adequacy decision or approved standard contractual clauses, together with appropriate supplementary safeguards where required.
7. Retention
Enquiry, customer and booking information is kept for as long as reasonably necessary to administer your relationship with Horizon Rider and afterwards for accounting, legal, insurance, security, dispute-handling and legitimate business-record purposes.
Licence and other rider evidence is retained only for as long as reasonably necessary for the purpose for which it was collected and any applicable legal, insurance or dispute requirements.
Consent and withdrawal records, security events and relevant audit history are retained for an appropriate audit period.
Payment, accounting and transaction records may be retained for the periods required by applicable accounting and tax law.
Records are then deleted or anonymised unless applicable law requires longer retention.
8. Your data-protection rights
Subject to applicable law, you may request access, correction, erasure or restriction; object to processing based on legitimate interests; request portability; and withdraw consent at any time.
You may also complain to the Office of the Commissioner for Personal Data Protection in Cyprus or another competent supervisory authority.
9. Cookies and website technologies
Horizon Rider may use cookies and similar technologies that are necessary to operate and secure the website and its customer functions.
Where non-essential analytics, advertising or marketing technologies are used, they will be managed in accordance with applicable consent requirements and the cookie controls made available on the website.
10. Changes
If this notice changes materially, K.M. CUNNING PLAN CONSULTING LTD, trading as Horizon Rider, will publish the updated version and take any additional steps required by law.
